WhatsApp Notifications

What The Fit 4 Gym must be managed effectively, safely and profitably, in order to be sustainable and serve its members well. The following conditions make this possible and will need to be agreed to by every person utilizing the facilities:
NB: Please ensure that you ask Storm Loots or any one of our amazing personal trainers to add you to the members only WhatsApp group for all important notifications regarding the gym. Only Admin can send messages on this group.  +27 76 983 8573

TERMS AND CONDITIONS

  • Monthly gym fees are payable in advance for the client’s upcoming training. Payments will be processed via Netcash Debiting services on the date selected by the client. Unless otherwise agreed in writing with an authorized representative of What The Fit 4 Gym. 

  • An administrative penalty fee will be added to your invoice in the event of a returned or failed debit payment.

  • All gym fees and membership payments are generally non-refundable. However, in line with the Consumer Protection Act, refunds or pro-rata credits may be considered if the gym is unable to provide access to its facilities or services for an extended period (beyond the standard scheduled closures). Refunds will not apply in cases of non-attendance, voluntary withdrawal, or changes in personal circumstances.

  • Please note that this monthly fee reserves your desired training slot/s and/or provides you with a membership position within our limited membership, exclusive boutique gym. (Once our membership base has reached its limits, all clients will be placed onto a waiting list to join our exclusive boutique gym).

  • Membership prices and packages are determined on a 4-week monthly cycle. Consequently, in months with a 5-week cycle, the additional week is considered ‘FREE’ to account for the gym’s and personal trainers closures during the year, primarily over Easter and Christmas.

  • The Client may not participate in any training sessions or utilize the gym’s facilities with an overdue account. Rates shall escalate at the Proprietor’s discretion.

  • Memberships are not ordinarily suspended or frozen in order to preserve the limited membership model and sustainability of operations. In exceptional circumstances, such as documented medical incapacity or relocation outside of Gauteng, members may request a suspension in writing. Approval is at the sole discretion of WhatTheFit4 Gym and may be subject to an administrative fee.

  • Regrettably, if we were to suspend memberships, it would render the gym incapable of maintaining operations during significant holidays, public holidays, flu outbreaks, and other considerations.

Trainer VS Gym Liability (Private & Group Class Clients)

  • Personal Trainers who operate within WhatTheFit4 may act as independent contractors. Fees paid directly to trainers are separate from gym membership fees. The Gym is not responsible for the independent actions, schedules, or payment arrangements of such trainers, except insofar as it relates to access to the facilities.

 Annual Fee Increase

  • All membership fees are subject to an annual adjustment on 1 January, at the Proprietor’s discretion, with consideration of the client’s length of membership.
    Annual increases will be reasonable and communicated in writing at least 30 days prior to implementation.

  • 12-month fixed contract guarantees that your membership rate will remain the same for the full 12 months from the date you sign up. No price increases will apply during this period. Upon renewal of your contract, an annual adjustment may be applied at the Proprietor’s discretion, effective from the renewal date.

Termination Notice

  • To terminate your training or to downgrade any of the packages or memberships, a notice period of one full calendar month is required via Email (fitness@whatthefit4gym.co.za).
  • The 12-month fixed contract – Clients are responsible for all fees for the full 12 months, with no option to suspend, cancel, or downgrade unless otherwise agreed in writing. The standard one-month cancellation notice applies only after the completion of the 12-month term.

Membership & Package Changes

  • Downgrades

    • If you downgrade your membership, please note that all memberships are subject to annual fee increases at WhatTheFit4’s discretion.
    • If you downgrade your membership, please note that all memberships are subject to annual fee increases at WhatTheFit4’s discretion. Downgrading does not reset your membership length or affect loyalty-based pricing considerations.

  • Package Conversions

    • If you’re on a month-to-month membership or personal training/group class package, you can switch to another package at any time with one full calendar month’s written notice  via email.

  • Conversion to 12-Month Fixed Contract

    • Month-to-month members may convert to a 12-month fixed contract at the discounted rate by giving one month’s written notice via email.
    • Where a client has been a member for more than 12 consecutive months, the fixed contract rate shall be calculated using their most recently adjusted membership fee (including any applicable annual increases), less the applicable fixed-contract discount. This rate will remain fixed for the 12-month term.
    • Upon renewal of the contract, an annual increase may be applied at the Proprietor’s discretion, with consideration of the client’s length of membership.
    • Your 12-month fixed contract begins after the one-month notice period. You’ll be responsible for all fees for the full 12 months, with no option to suspend, cancel, or downgrade unless otherwise stated.

  • Binding Agreement

    • Once our CRM system has been updated and your first payment has been processed, your conversion of any membership/package is considered a binding contract. If you disagree with the new contract, you must notify us in writing via email within five (5) business days.

  • Termination Notice

    • Your fixed 12-month contract replaces your month-to-month membership. The usual one-month cancellation notice only applies once the 12-month term ends.
  • Reactivation Fee

    • In the event of reactivating a pre-existing client, a reactivation fee of R300.00 will be levied in addition to the monthly membership fee for administrative purposes.

Gym Etiquette

  •  We are a respectful and inclusive community, and members are expected to share gym spaces, equipment, and facilities fairly and considerately at all times.

  • All members are required to check in BEFORE their training session by scanning the QR code at the front desk using your Octiv app.

  • Please always use a sweat towel when utilizing equipment in the gym for hygiene purposes.

  • Wipe down any equipment and mats after use. Sanitizer and paper toweling are supplied in the gym for this purpose.

  • Please do not drop the weights onto the floor from any height and don’t just let go of the cables that operate the machines. Not only does this damage and break the equipment, but it is not necessary, and it can be very disruptive to the other members.

  • There will be a R50 fine charged for doing so.

  • For safety and hygiene reasons, closed shoes must be worn at all times, except during yoga, stretch classes, or similar activities. Socks must be worn at all times.

  • Please be mindful of shoes, zippers, and buttons on clothing, as they can damage the leather surfaces of our machines. Activewear is the appropriate attire for our setup. Thank you for your understanding.

  • All members are required to maintain the cleanliness and order of the gym by adhering to the following: Deload all weight plates from machines after use, return barbells to their designated stands, wipe down equipment using the provided sanitizer and paper towels, and ensure all cable attachments are reattached if removed. These practices help ensure a safe, respectful, and enjoyable environment for everyone.

  • Out of respect for fellow gym users, members are asked to avoid occupying benches, equipment, or machines unnecessarily. Please refrain from sitting on your phone while others may be waiting to use the equipment.

Gym Etiquette

What The Fit 4 Gym has in-house photographers

  • From time to time, photography and video footage may be taken within the gym for marketing and community purposes. These may be used on digital platforms, print materials, and other promotional media. By signing this agreement, you consent to such use. 

  • Client acknowledges and accepts in-house photography for the use of professional marketing. This indemnification shall include, but not be limited to, claims for invasion of privacy, defamation, or violation of any other right or interest.

  • Should you wish not to appear in marketing material, you may notify the gym in writing via email and reasonable steps will be taken to exclude your image from new materials. 

Medical Fitness

The Client undertakes to promptly notify the Trainer if, during the course of the training programme, the Client’s medications, health condition, or medical limitations should change. The Client understands that it is recommended that clients undergo a yearly physical, (or more frequent physical examinations if advised) and consultation with the Client’s physician, to determine their optimal physical activity level and diet. The Client acknowledges that the Client has both had a physical exam and been given their physician’s permission to participate in a training regimen, or the Client has decided to participate without approval of their physician
